Professional Business Letter Formats

To write a professional business letter, writer has to follow predefined formats. They can be three possible formats for professional business letter. These formats and their details are as follow:

  • Indented Form
  • Block Form
  • Semi Block Form

In all of above formats contents of business letter remain the same but some of them may change their alignment. S here I will explain them step by step in each format.

First of all I would like to explain about the indented form of professional business letter.

Letterhead/Heading/Sender’s Address

Letterhead/Heading/Sender’s Address is the first element of professional business letter and in indented form it is situated at right alignment.

Date

The second element date is situated two to six lines after heading at right margin.

Inside Address/Receiver’s Address/Reader’s Address

The inside or receiver’s address is always placed one to two lines below the date at left margin.

Attention Line (Optional)

When you need to deliver letter to a specify person then use attention line after the insider address and before salutation at left margin.

Salutation

Salutation should be placed two to six line before body at left margin.

Subject Line (optional)

Subject line should be placed after salutation with two lines space at left margin.

Title/Account Number and Mailing Notation (Optional)

Title/Account Number and Mailing Notation should be at left margin before the body message.

Body

The body of the letter can be left or justified align.

Complementary Close

Complimentary close comes after body message and in indented form at right margin.

Signature Area

Signature area is placed after complimentary close at right margin.

Reference Initials

Reference initials are placed under signature area at right margin.

Enclose Notation (Optional)

Enclose notation comes after references initials at right margin.

Copy Notation (Optional)

Postscript (Optional)
